Account Management
Requires. SecurityTrax Account Management with View to open Account Management. Managing billing methods, paying invoices, and enabling or disabling add-ons requires SecurityTrax Account Management with Modify.
The Account Management area is about your company's SecurityTrax subscription — not about the customers you serve. It's where you review what your company is paying SecurityTrax each month, update the payment method SecurityTrax charges, manage your plan's add-ons and your token wallet, and download past invoices from SecurityTrax.
These sections appear in the left navigation:
- Billing Methods — payment methods SecurityTrax can charge for your company subscription.
- Invoices — invoices from SecurityTrax to your company, with download and pay actions when available.
- Subscription — your plan and its add-ons.
- Tokens — your SecurityTrax Tokens wallet: balance, buying tokens, auto-reload, credits, and pricing.

- From the Admin index, click Account Management in the Your Account section.

https://portal.securitytrax.com/{your-company}/admin/account-management. The bare route redirects to Billing Methods by default.

Billing Methods
Route: admin.account-management.billing-methods.
This section shows the payment methods on file for your SecurityTrax subscription. These are the cards or bank accounts SecurityTrax can charge for your company's SecurityTrax account.
Payment methods
Each method on file shows:
- Type (credit card, ACH).
- Last 4 digits (card or account).
- Expiration (card only).
- Default status — which method gets charged next.
- Actions — Make Default, Delete.
Add a new one via New Payment Method.
Users with SecurityTrax Account Management View can see billing methods. Users with SecurityTrax Account Management Modify can add payment methods, make a method the default, and delete non-default methods.
If your billing information can't be loaded
Occasionally SecurityTrax can't reach the service that holds your payment methods. When that happens you'll see Billing information isn't available right now with a Retry button, and the list shows Not available instead of No results found. This does not mean your cards were removed — they're on file, just not readable at that moment.
While the information is unavailable, SecurityTrax hides New Payment Method so you can't add a duplicate of a card you already have. Click Retry, or reload the page in a few minutes.
Invoices
Route: admin.account-management.invoices.
This section lists invoices from SecurityTrax to your company.
Each invoice row:

Forward downloaded PDFs to your accounting team for their records. Users with SecurityTrax Account Management Modify can pay unpaid invoices when a payable balance and payment method are available.
If SecurityTrax can't load your invoices or your payment methods, this page shows Billing information isn't available right now with a Retry button, and Pay is hidden until your payment methods load — paying an invoice needs a card to charge. Download PDF keeps working.
Subscription
Route: admin.account-management.subscription.
The Subscription page is where you manage your SecurityTrax plan and its add-ons. It's visible to users with SecurityTrax Account Management View; the controls below require SecurityTrax Account Management Modify.
The add-ons you see depend on your pricing plan: current SecurityTrax plans show the single Operations Plus add-on, while older plans show the classic per-feature add-ons. Your SecurityTrax Tokens wallet lives on its own Tokens page (below).
Operations Plus (current plans)
Operations Plus is the one optional add-on on current SecurityTrax plans. It's billed at $5 per active user per month (prorated for the days it's enabled) and unlocks enhanced inventory, enhanced payables, the QuickBooks Online sync, advanced API access, and single sign-on (SSO).
To turn it on or off, click Enable or Disable on the Operations Plus card and confirm. See Operations Plus for the full feature list and setup steps.
Classic add-ons (older plans)
On older pricing plans, the Subscription page instead lists the classic add-ons individually, each with its own Enable / Disable control (with SecurityTrax Account Management Modify) and per-use or per-month pricing shown on the card:
- Message+ — native SMS messaging through your own Twilio account (enabling asks for your Twilio Account SID, Auth Token, and From number).
- Invoice+ — automated recurring invoices and the customer payment portal.
- Payable+ — advanced payables calculation and automated payable creation.
- Inventory+ — automated replenishment and distributor order integrations (shown when Enhanced Inventory applies to your account).
- eDoc+ — DocuSign template data mapping for electronic documents.
- Consumer Financing — consumer finance loan applications from customer accounting.
- Credit Checks — live customer credit pulls through configured credit bureaus.
- QuickBooks — the QuickBooks Online accounting sync.
Enabling an add-on can add charges to your SecurityTrax invoice — each card states its price, and SecurityTrax asks you to confirm before turning an add-on on or off.
Tokens
Route: admin.account-management.tokens. The active tab is addressable with a ?tab= query parameter (buy, auto-reload, credits, pricing), so you can bookmark or link straight to a tab — for example, the SecurityTrax API page's cost banner links directly to ?tab=pricing.
The Tokens page manages your SecurityTrax Tokens wallet. It has its own item in the Account Management left navigation, directly below Subscription, and is available on every pricing plan. It's visible to users with SecurityTrax Account Management View; the buy, auto-reload, and suspend controls require SecurityTrax Account Management Modify.
SecurityTrax Tokens are the prepaid usage credits that power metered features — AI assistance, automation runs, address and property lookups, and API metering. The in-app documentation assistant is free and never draws from your tokens. Your plan includes 5,000 tokens each month; paid usage beyond the monthly allowance draws from your token wallet. If both your monthly allowance and wallet balance run out, those metered features pause — the same as suspending usage — until you buy more tokens or an auto-reload tops you up. While paused, affected AI features show a notice with a link to this Tokens page (or, without Modify access, a prompt to ask an administrator).
The top of the Tokens card always shows your key numbers, plus the suspend/resume control. Each figure has a small info icon next to its label — hover (or tap) it for a short in-app explanation:

Note. Some usage is totalled in batches rather than the moment it happens, so the numbers on this page may not include your most recent activity.
Everything else is organized into tabs:
- Buy Tokens — with Modify access. Enter a dollar amount to top up immediately. 1 token = $0.01, charged to your card on file. Purchases have a $25 minimum. You need a payment method on the Billing Methods page first, and you can't exceed your wallet cap. If SecurityTrax can't confirm the card on file, the tab shows Billing information isn't available right now with a Retry button instead of asking you to add a card, and a purchase attempt reports that purchases are paused rather than that you have no card. If your balance is below zero, SecurityTrax shows how much of the purchase clears it and how many tokens you'll have left to spend.
- Auto-Reload — with Modify access. Automatically buy more tokens when your balance drops below a threshold you set, up to a monthly auto-reload cap, so metered features never stop. The reload amount has a $25 minimum, and the trigger threshold has a minimum too — usage is totalled in batches, so a reload needs some balance left to work with or it lands after you have already run out. SecurityTrax shows the per-reload charge before you confirm. If your balance is below zero when a reload runs, the reload covers that first and adds your reload amount on top — so a single reload charge can be more than your reload amount, and you always end up with the full amount available to spend. - Token Credits — a history of monthly allowance grants, purchases, auto-reloads, and any complimentary credits granted by SecurityTrax.
- Token Pricing — the published rates for every metered feature (see below).
When your balance goes below zero
Some usage — API requests in particular — is totalled in batches rather than the moment it happens. So usage can be counted after your allowance and wallet have already run out, which leaves your Wallet Balance showing a negative number. When that happens, the Tokens page shows a warning at the top and the balance in red.
This is normal and expected, not a billing error:
- Nothing is billed separately. There's no extra invoice and no payment to make.
- It clears on its own. The next auto-reload, monthly allowance, or token purchase covers the negative amount automatically.
- Metered features stay paused until the balance is back above zero, the same as running out normally.
If you'd rather not have usage pause at all, turn on Auto-Reload — it tops you up automatically and covers a negative balance the next time it runs.
If a reload is declined
Auto-Reload is what keeps metered features running, so a declined card eventually stops them. SecurityTrax emails your billing contacts and keeps retrying, but no tokens are added.
Once your balance reaches zero:
- AI assistance, automation runs, and address and property lookups stop working.
- SecurityTrax API requests start returning errors to your integrations.
Both resume as soon as the balance is restored. To fix it, keep a valid payment method on the Billing Methods page, or buy tokens on the Buy Tokens tab to restore access immediately.
Token pricing
The Token Pricing tab lists what each feature costs in tokens. 1 token = $0.01. AI features are charged per outcome — retries and multiple model calls behind one request never bill twice.

Note. SecurityTrax Tokens are available on every pricing plan; only the add-on cards on the Subscription page vary by plan.
Invoice download
The invoice download action on each billing-invoice row uses a signed URL (admin.account-management.invoice.download) that's valid for a short time. If the link expires before you click, refresh the page to get a new one.
Non-obvious behaviors
- Your SecurityTrax subscription is separate from your customers' billing. Don't confuse this page with Billing Admin (customer-facing billing settings) or your customers' Accounting data. They're three different things.
- Updating payment method doesn't trigger an immediate charge. It applies to the next scheduled billing date.
- Some controls require modify access. If you can see Account Management but cannot add payment methods, pay invoices, toggle add-ons, or manage your token wallet, your user likely has SecurityTrax Account Management View but not SecurityTrax Account Management Modify. One exception: if the page also shows Billing information isn't available right now, the buttons are hidden because the information couldn't be loaded, not because of your permissions — click Retry.
- A new card isn't auto-defaulted while billing information is unavailable. Normally, if you have no payment methods on file, the first one you add is locked to Default. If SecurityTrax couldn't read your existing methods, it leaves the choice to you rather than risk changing which card gets charged.
